Creating Campaigns

Campaigns are the primary way to distribute interview invites to multiple participants. This guide covers everything you need to know about campaign management.

Campaign Lifecycle

A typical campaign goes through these stages:

  1. Draft: Campaign created but not yet launched
  2. Active: Invites sent, participants can complete interviews
  3. Completed: All participants finished or invite period expired
  4. Archived: Campaign archived for record keeping

Creating a Campaign

Basic Setup

Required fields when creating a campaign:

  • Campaign Name: Internal identifier (not visible to participants)
  • Script: Must be a published script version
  • Project: Organize campaigns by project
  • Invite Validity: Duration invite links remain active (1-30 days)

Adding Participants

Individual Emails:

participant1@example.com
participant2@example.com
participant3@example.com

Bulk CSV Upload: Create a CSV file with this structure:

email,name
john@example.com,John Doe
jane@example.com,Jane Smith

Maximum 1,000 participants per campaign. For larger studies, create multiple campaigns.

Email Customization

Customize the invitation email sent to participants:

Subject Line Best Practices:

  • Keep it under 50 characters
  • Include your organization name
  • Make it clear it's an interview invitation
  • Avoid spam trigger words

Body Content:

  • Explain the purpose of the interview
  • Mention estimated time (be realistic!)
  • Highlight any incentive or compensation
  • Include contact information for questions
  • Reassure about privacy and data security

Managing Active Campaigns

Dashboard Overview

The campaign dashboard shows:

  • Invites Sent: Total number of invites delivered
  • Started: Participants who began the interview
  • Completed: Fully completed interviews
  • Pending: Invites sent but not started
  • Failed: Email delivery failures

Find specific participants using filters:

  • Status: Pending, Started, Completed, Expired
  • Email domain: Find all participants from a company
  • Completion date: See recent completions
  • Session duration: Identify outliers

Bulk Actions

Perform actions on multiple participants:

  • Send Reminders: Email participants who haven't started
  • Extend Expiry: Give more time to complete
  • Cancel Invites: Revoke specific invite links
  • Export Data: Download participant list with statuses

Advanced Features

Scheduled Campaigns

Launch campaigns at a specific date/time:

  1. Create campaign as draft
  2. Set launch date and time
  3. Campaign automatically activates at scheduled time

Perfect for coordinating with other marketing activities or timezone considerations.

Campaign Templates

Save campaign settings as templates:

  • Email copy
  • Validity period
  • Script selection
  • Follow-up settings

Reuse templates for recurring research studies.

A/B Testing

Run multiple campaigns with different scripts to test:

  • Question phrasing
  • Interview length
  • Interview style (formal vs. casual)

Compare completion rates and response quality.

Best Practices

Segmentation

Create separate campaigns for different participant groups:

  • By persona: Customers vs. prospects
  • By engagement: Active users vs. churned users
  • By demographics: Age groups, locations, etc.

This allows custom messaging and script variations.

Timing

When to launch:

  • Mid-week (Tuesday-Thursday) typically has better response rates
  • Avoid holidays and weekends for B2B research
  • Consider participant timezones

Invite validity:

  • 1-3 days: Urgent feedback, high engagement expected
  • 7 days: Standard for most campaigns
  • 14-30 days: Lower-priority research, passive recruitment

Completion Rate Optimization

Target 40-60% completion rate by:

  1. Clear Value Proposition: Why should they participate?
  2. Right Length: 5-10 minutes is the sweet spot
  3. Incentives: Gift cards, exclusive access, or report sharing
  4. Follow-up: Send one reminder after 3-4 days
  5. Mobile-Friendly: Most participants use phones

Pro Tip

Send test invites to yourself and colleagues before launching to 100+ participants. Check email rendering, link functionality, and interview experience.

Troubleshooting

Low Open Rates

Possible causes:

  • Emails going to spam (check SPF/DKIM records)
  • Poor subject line
  • Unknown sender name

Solutions:

  • Use white-label email with your domain
  • A/B test subject lines
  • Warm up email reputation gradually

High Drop-Off

Common issues:

  • Script too long (>15 minutes)
  • Technical problems (audio not working)
  • Confusing questions
  • Poor mobile experience

Solutions:

  • Review session recordings
  • Simplify early questions
  • Add progress indicators
  • Test on various devices

Email Bounces

Hard bounces (invalid email):

  • Remove from list
  • Verify email source quality

Soft bounces (temporary issue):

  • System automatically retries 3 times
  • Contact participant via alternative method

Campaign Analytics

Metrics to Track

  • Delivery Rate: Emails successfully delivered
  • Open Rate: Emails opened (if tracking enabled)
  • Start Rate: Participants who begin interview
  • Completion Rate: Fully completed interviews
  • Average Duration: Time to complete interview
  • Drop-off Points: Where participants quit

Exporting Data

Export campaign data in multiple formats:

  • CSV: Raw data for analysis
  • PDF: Individual transcripts
  • JSON: Full session data via API
  • Analytics Tools: Direct integration with webhooks
