Your First Campaign

This guide walks you through creating, launching, and managing your first interview campaign from start to finish.

What is a Campaign?

A campaign is a collection of interview invites sent to multiple participants. Each participant receives a unique invite link that expires after a set time period.

Campaigns are ideal for:

  • Customer research studies
  • Bulk candidate screening
  • User feedback collection
  • Academic research interviews

Creating a Campaign

1. Prepare Your Script

Before creating a campaign, you need a published script.

Draft scripts cannot be used in campaigns. Make sure to publish your script first.

  1. Navigate to Scripts
  2. Open your script
  3. Click Publish (only if you're satisfied with it)

2. Set Up Campaign Details

  1. Go to CampaignsNew Campaign
  2. Fill in the required fields:
    • Name: Internal name for your campaign
    • Script: Select your published script
    • Invite Valid For: How long invite links remain active (default: 7 days)

3. Add Participants

You can add participants in two ways:

Manual Entry:

john@example.com
jane@example.com
alex@example.com

CSV Upload: Upload a CSV file with email addresses in the first column.

CSV Format

The CSV should have a header row with "email" as the first column. Additional columns like "name" will be ignored.

4. Customize Invite Email

Personalize the email your participants will receive:

  • Subject Line: Keep it clear and professional
  • Body: Explain what the interview is about and estimated time
  • Sender Name: Your name or organization name

5. Launch

Click Launch Campaign to send invites immediately, or Save as Draft to launch later.

Managing Active Campaigns

Monitoring Progress

From the campaign detail page, you can see:

  • Total invites sent
  • Interviews started
  • Interviews completed
  • Completion rate

Viewing Transcripts

Click on any completed session to:

  • Read the full transcript
  • Listen to audio recordings
  • Export to PDF
  • Download raw data

Sending Reminders

To remind participants who haven't completed their interview:

  1. Open your campaign
  2. Click Send Reminders
  3. Select which participants to remind
  4. Customize the reminder message
  5. Click Send

Best Practices

Timing

  • Launch Time: Send invites during business hours in your participants' timezone
  • Validity Period: 7 days is a good default; adjust based on urgency
  • Reminders: Send a gentle reminder 2-3 days before expiry

Email Content

  • Be Clear: Explain what the interview is about
  • Set Expectations: Mention estimated duration (e.g., "5-10 minutes")
  • Privacy: Assure participants their data is secure
  • Incentives: If offering compensation, mention it clearly

Script Quality

  • Test First: Complete a test interview yourself before launching
  • Keep It Short: 5-10 minutes is ideal for high completion rates
  • Natural Flow: Write conversational questions, not robotic prompts

Troubleshooting

Low Response Rate

If participants aren't starting interviews:

  • Check your spam folder for bounced emails
  • Review email subject line (avoid spam trigger words)
  • Verify email addresses are correct
  • Consider offering an incentive

High Drop-Off Rate

If participants start but don't complete:

  • Shorten your script
  • Simplify complex questions
  • Test audio quality on different devices
  • Check for technical issues
